Privacy Policy
Last updated October 22, 2026 · KONAH Media Group LLC
This policy explains what KONAH Media Group LLC ("KONAH", "we") collects when you use konahmedia.com, the KONAH portal, property websites and our emails and texts, why we collect it, who we share it with and the choices you have.
The short version
We collect what we need to book, shoot, edit and deliver your media and to run the tools in your portal. We don't sell your personal information and we don't use advertising or tracking cookies. You can download your data or delete your account from your portal at any time.
What we collect
- Account details: name, email, phone, company or brokerage, your role (agent, loan officer, title, homeowner or other), and a scrambled (hashed) version of your password.
- Orders and properties: property address, size and type, preferred dates, access details you give us (such as lockbox or gate codes, pets, alarm notes and on-site contact), shot lists, notes, messages with KONAH, ratings and support requests.
- Your media and files: photos, video and documents we create for you or that you upload (including Edit My Stuff projects and your document vault). These are stored in KONAH's Cloudflare R2 storage account.
- Payment information: payments are processed by Stripe. We keep amounts, payment status and a Stripe customer reference; we never see or store your full card number.
- Brand kit: headshot, logo, colors, license or NMLS number, brokerage, phone, website and tagline, used on the materials we make for you.
- Leads and contacts: people who contact you through a property website form (name, email, phone and message), and contacts you add or import. These belong to you; we store them so you can work them in your portal.
- Transaction Coordinator: transaction details, dates, the people involved, emails forwarded to your transaction address, and documents you upload.
- Social media connections: if you connect Instagram, Facebook or TikTok, the account details and access token the platform gives us, and the posts you schedule. See "Facebook, Instagram and TikTok" below.
- Property website activity: daily counts of page views, video plays and inquiries. Visitors to property websites aren't tracked with cookies and aren't identified.
- Agent Financials tab: your money checklist and which KONAH letters you've opened.
- KONAH Rewards: how much active time you spend in your portal (time with the portal open and in use, not what you type or view) and KONAH Fitness workouts you finish, so we can add the rewards you earn. Used only for rewards.
- Preferences: your notification choices, email and text consent (with the date), and phone notification subscriptions if you turn them on.
- Team members and freelancers: for photographers, videographers and editors who work with us, we also keep application details, availability, licenses (such as an FAA drone certificate), shoot-day check-in times and, where required, background check results from our screening provider.
- Technical information: your IP address and basic request details, used to keep the service secure (for example, limiting repeated sign-in attempts), and an activity log of changes to orders and files.
How we use it
To provide the services you book, schedule and staff shoots, edit and deliver media, take payment, send confirmations and updates, provide support, keep the service secure, improve our work, and meet our legal, tax and accounting obligations. If you opt in, we also send occasional tips and offers; you can stop them any time.
AI features
Some tools use AI services to draft text (listing descriptions, captions, transaction email summaries and reply drafts, news summaries) or to clean up photos. Only the information needed for that task is sent to the AI provider, and you review AI drafts before they're used. Photos changed with AI are labeled as virtually edited.
Facebook, Instagram and TikTok
- How you connect: you sign in on the platform itself and choose what to allow. We never see or store your social media password.
- What we receive from Facebook: the list of Pages you manage, and for the Page you pick, its name, ID and an access token.
- What we receive from Instagram: the professional account linked to that Page, including its ID, username and profile picture.
- What we receive from TikTok: your basic profile (display name, avatar and an account ID) and an access token.
- How we use it: only to show you which account is connected and to publish the posts, photos and videos you approve or schedule in your portal. For Facebook and Instagram, if you subscribe to Social Media Management, our team may publish content from your approved calendar on your behalf. For TikTok, nothing is sent to your account until you personally review the post in your portal, choose who can see it, and confirm. We never add KONAH watermarks or logos to content we post to TikTok for you.
- What we don't do: we don't read your private messages through these connections, sell platform data, use it for advertising, or share it with anyone except the platform itself and the service providers listed in this policy.
- How long we keep it: access tokens are kept until you disconnect, the platform expires them, or you delete your KONAH account. Copies of posts you published stay in your portal's history until you delete them or your account.
How to delete your social data
- In your portal: go to Social Media and click Disconnect. We delete the access token and account details for that platform right away.
- From Facebook or Instagram: open your settings (or Meta Accounts Center), find the section for connected apps, websites or business integrations, and remove KONAH Media. When you remove KONAH there and ask Meta to delete your data, Meta notifies us and we delete it.
- From TikTok: open Settings and privacy, find the section for app permissions, and remove KONAH Media.
- By email: write to [email protected] from your account email with the subject "Delete my social data."
- We delete the data within 30 days of your request. For requests that come through Meta, you get a confirmation code and a link where you can check the status. If the law requires us to keep any of it (for example, invoice records), we tell you what we kept and why. Removing access doesn't delete posts already published to your social accounts; delete those on the platform.
Google account data
If you connect Gmail, Google Calendar or Google Business Profile, we use that data only to provide the features you see in your portal, such as showing your inbox, drafting replies you approve, booking links and review management. KONAH's use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
We do not use Google user data to serve ads, we do not sell it, and we do not use it to develop or train generalized AI models. People at KONAH do not read your Google data unless you ask us to for support, it's needed for security, or the law requires it.
Who we share it with
- We share information only with service providers that help us run KONAH, and only what each one needs: hosting (Cloudflare), file storage (Cloudflare R2), payments (Stripe), email (Resend), text messages (Twilio), address lookup (Google), AI processing (Anthropic and Google), background screening for freelancers (Checkr), social platforms you choose to connect (Meta and TikTok), and, if you subscribe to KONAH Marketing, our marketing platform (GoHighLevel).
- Photographers and editors working on your order see what they need to do the job, such as the address and access notes. Access notes are hidden from the photographer after delivery.
- If you're on a team, your team lead can see the orders you book and your Health score, but not your leads or contacts.
- We may share information if the law requires it, to protect people or our rights, or as part of a sale or merger of the business, in which case this policy continues to apply.
- We do not sell your personal information or share it for advertising.
KONAH sales representatives
- Some customers come to KONAH through an independent KONAH sales representative, either because the rep set up your account or because you signed up through the rep's link. When that happens, the rep can see your name, email, phone, company, whether your account is set up and active, which KONAH products you use, the orders the rep booked for you, and the amounts you pay KONAH. Reps never see your photos, files, messages, leads or documents, and they never handle your payment details.
- Reps are paid a commission by KONAH based on what customers they refer pay KONAH. It doesn't change your price. If you'd rather work with KONAH directly, email us and we'll take care of it.
- For reps themselves, we keep their application, program-terms acceptance (with date and IP address), the customers credited to them, their commission history and what KONAH has paid them, and notes they write about their customers. The tax and bank details reps need to get paid are collected by Stripe; KONAH doesn't see or store them.
KONAH Hello video messages
- KONAH Hello lets a KONAH customer (for example a real estate agent) send you a personal video by link. When you open that link, KONAH tells the sender that it was opened, roughly where (city and region, from your internet connection), what kind of device you used, how much of the video played, which buttons or homes you tapped, and whether the link was opened on more than one device. We don't use cookies for this: the page keeps a random viewer number in your browser so repeat visits count once.
- If you reply, book a time or send a video reply, the sender receives what you sent and it's saved in their KONAH contacts. Bookings happen on the sender's own scheduling service (such as Calendly) under its own privacy policy.
- The sender controls their videos and can delete them; deleting a video removes its list of recipients, their viewing history and any video replies (a reply already saved to the sender's contacts stays there until they remove it). To stop receiving KONAH Hello emails, use the unsubscribe link in any of them.
KONAH Vendors
Businesses listed in KONAH Vendors give us their business details to show publicly. When someone opens a vendor's profile or contacts them through KONAH, we record that it happened (and, for signed-in users, which account and role) so the vendor and KONAH can see how the directory performs. If you send a quote request, the vendor receives your name, contact details and message.
Cookies
We use one essential cookie to keep you signed in, and your browser's local storage for small conveniences such as a dismissed notice or a remembered filter. We don't use advertising, analytics or tracking cookies. Because these are essential, there's nothing to opt into; the notice on our site just lets you know.
Emails and texts
We send emails and texts about your orders and account (confirmations, schedule changes, payment links, delivery). If you give us a mobile number, you agree to receive those texts; message frequency varies, message and data rates may apply, reply HELP for help and STOP to any text to stop them. We do not share or sell your mobile number or text-messaging consent with third parties or affiliates for their marketing. Tips and offers are only sent if you opt in. Every email has a link to change your preferences or unsubscribe.
How long we keep it
We keep your account information while your account is open. If you delete your account, we remove your profile, brand kit, contacts, documents, social connections and preferences. We keep order, invoice and payment records for as long as we need them for tax, accounting and legal reasons, with your name and contact details removed from your user record. Media we created may remain in our archive as part of those order records.
Your choices and rights
From your portal you can update your details, download a copy of your data (Team & Account → Your data) and delete your account. You can also email us to ask what we hold about you, to correct it, or to delete it. Depending on where you live, you may have additional privacy rights; contact us and we'll help. We won't treat you differently for using these rights.
Security
We use encrypted connections, hashed passwords, signed links and access controls by role. No system is perfectly secure; if we learn of a breach that affects you, we'll tell you as required.
Children
KONAH is for adults doing business in real estate. We don't knowingly collect information from children under 13, and you must be 18 or older to create an account.
Changes
If we change this policy we'll update the date at the top and, for meaningful changes, let you know in the portal or by email.
