Software Subscription Terms & Data Processing Addendum
Version 2026-11-04.1 · effective 2026-11-04 · KONAH Media Group LLC
Terms for KONAH CRM 2.0 and Pro (KONAH Phone), KONAH Assistant, KONAH Prospect, KONAH Offer, KONAH Postcards, KONAH Websites, the AI Social Media Manager, the AI Transaction Coordinator and KONAH Hello, including how KONAH handles your contacts' data.
What these terms cover
KONAH's software: KONAH CRM 2.0 and KONAH CRM 2.0 Pro (with KONAH Phone), KONAH Assistant, KONAH Prospect, KONAH Offer, KONAH Postcards, KONAH Websites, the KONAH AI Social Media Manager, the KONAH AI Transaction Coordinator, KONAH Hello video messages, and the contacts, leads, lead-form and property-website tools in your portal.
They add to the Terms of Service. If they disagree on a software topic, these terms win for that topic. You agree to them when you start a subscription, pay for a transaction or start using one of these tools.
Plans, trials and billing
- Prices are shown in your portal and on konahmedia.com before you start. Subscriptions (KONAH CRM 2.0, KONAH CRM 2.0 Pro, KONAH Assistant, KONAH Prospect, the AI Social Media Manager, Brokerage AI Social licenses and KONAH Websites hosting) are billed monthly through Stripe and renew automatically at the price shown until you cancel.
- Free trials: KONAH CRM 2.0, KONAH CRM 2.0 Pro, KONAH Prospect and the AI Social Media Manager may start with a free trial of the length shown at checkout, with a card on file. KONAH emails you before the first charge (KONAH Prospect: 3 days before; KONAH CRM and AI Social: 3 days and 1 day before). Cancelling during the trial ends it at once and you're never charged.
- KONAH CRM 2.0 Pro has no setup fee. It includes one AI Transaction Coordinator transaction and one KONAH Offer client in each billing period; they don't roll over, and beyond them the normal prices apply.
- KONAH CRM may be offered free during a launch period, with no card. Nothing is charged unless you later start a paid plan with your card.
- You can move between plans from the KONAH CRM 2.0 tab; Stripe prorates the difference.
- Pay-as-you-go: the Transaction Coordinator (per transaction), KONAH Offer (per offer), KONAH Postcards (per mailing), Prospect lookup credits and KONAH Websites builds and domains are charged when you buy them (card, account credit or a gift card where offered).
Cancelling
Cancel any time from your portal. A paid month runs to the end of the period you've paid for; KONAH doesn't give partial refunds for unused days (see the Refund & Cancellation Policy).
If you cancel KONAH CRM, your CRM workspace isn't deleted right away: if you come back, KONAH reopens the workspace you already had. Ask us at [email protected] if you'd like it deleted sooner.
KONAH CRM 2.0
- KONAH CRM 2.0 runs inside your KONAH portal. Your contacts, pipelines, inbox, lead forms, automations and your capture address (emails sent or forwarded there become contacts) live in KONAH's own systems.
- Customers who already had a KONAH CRM workspace on HighLevel (GoHighLevel) before KONAH CRM 2.0 keep that legacy workspace for as long as their subscription continues; HighLevel isn't used for new KONAH CRM 2.0 accounts.
- Lead forms: KONAH's open-house, property-website and website-chat forms ask for texting consent in a separate, optional box with the full texting wording. Only that box records texting consent; the exact words, version, time and IP address are kept with your account.
KONAH Phone (KONAH CRM 2.0 Pro)
- You get a local KONAH number for two-way texts and click-to-call. Texts and calls are your messages: you're responsible for having your contacts' permission, honoring opt-outs and following carrier rules for registered business texting (A2P 10DLC), which KONAH helps you register with Twilio.
- KONAH enforces these rules on the server and you can't turn them off: texts only to people with a consent record; bulk texts only to people with a written consent record (a KONAH form texting box, the Text-me page or a Meta lead form whose wording names you); never after STOP or a plain opt-out such as "please stop texting me"; texts and calls only 8 AM to 8 PM in the recipient's time zone; never to contacts you marked Do Not Contact, numbers on KONAH's opt-out list or (when the scrub is switched on) the Do Not Call list; at most 3 texts in 24 hours to a Florida number. Calls are one at a time, placed by you; no auto-dialing.
- Call recording is off unless you turn it on; then everyone on the call hears a recording notice first. Recordings are held by Twilio under your number.
KONAH Assistant
- KONAH Assistant is an AI assistant for your KONAH number, inbox and messages. It drafts replies for you to review. If you turn on "Send for me" for a channel, or use the AI receptionist, it replies, answers and books appointments automatically under your name, and it tells people it's an AI assistant when a conversation starts. You're responsible for those messages as if you sent them, and you can turn it off any time.
- Outbound AI calls are off unless KONAH switches them on, and go only to people who signed written consent to AI calls. A voice copy of your voice is made only from your own recording with your written consent, is used only on your own Assistant calls, and you can delete it.
- The Assistant doesn't give legal, lending or financial advice, never quotes rates and never takes payment details.
KONAH Prospect
Prospect shows public property and ownership records and, when you pay for a lookup, owner phone numbers and emails from KONAH's data provider with Do Not Call and known-litigator flags. Use it only for your own real estate marketing, follow Do Not Call rules, call only 8 AM to 8 PM in the owner's time zone, and send no cold texts or robocalls. The KONAH Prospect Terms add to these terms.
KONAH Offer, Postcards and Websites
- KONAH Offer fills in the terms you give into an offer package; you and your broker are responsible for the contract. KONAH AI reads a proof-of-funds statement once to write a one-line summary with account numbers masked; the original is deleted 30 days after upload.
- KONAH Postcards are printed and mailed by our print partner (PostGrid); your firm name and office phone print on every card.
- KONAH Websites domains are registered in your name through Name.com and connected through Cloudflare; you own the domain.
AI Social Media Manager
- KONAH AI plans and drafts posts, graphics, captions and replies from your listings, your Brand Kit, your voice profile and public information. Nothing is published until you approve it, and each check (Fair Housing wording, lending claims, numbers to verify, brokerage disclosure) must be ticked before approval.
- Publishing goes through KONAH Connect (Zernio) to the accounts you connect. Disconnecting an account stops its scheduled posts.
- Your Voice recordings are transcribed by Deepgram and the audio isn't kept; the voice profile is saved so drafts sound like you. You can redo or delete it.
AI Transaction Coordinator
- Each transaction gets its own email address. Emails you send or forward there are summarized with a suggested reply. KONAH never sends anything for you.
- Account, routing, loan and Social Security numbers are masked (last 4 kept) before anything is stored or sent to the AI. Emails about wiring or changed payment instructions are flagged "Possible wire fraud: verify by phone". Always confirm wiring instructions by calling a number you already know is real.
- If you upload a contract PDF, KONAH AI reads it to fill in the transaction, and the file is kept privately with that transaction (only you can open it) until you delete it. The Transaction Coordinator isn't a lawyer, escrow agent or title company, doesn't interpret contracts and doesn't give legal advice.
Client status pages
If you turn on a private closing status page for a client (with their separate consent), KONAH logs when it's opened, whether the wire-safety card showed and a scrambled version of the visitor's IP address, and shows you those views.
KONAH Hello
Videos are stored privately and played from your personal links. Captions come from Deepgram or your browser's speech recognition. When someone opens your link, you see whether and how they watched, as the Privacy Policy describes for viewers.
You control your videos and can delete them; deleting a video removes its recipients, viewing history and video replies.
Data processing addendum: roles
When you put other people's information into these tools (contacts, leads, transaction parties, message recipients, social followers), you decide why and how it's used, and KONAH processes it on your behalf to run the tools you chose. In privacy terms, you're the business or controller for that data and KONAH is your service provider or processor.
You confirm you collected that information lawfully and have the right to give it to KONAH for these purposes.
Data processing addendum: what KONAH does with your contacts' data
- Uses it only to provide, secure, support and improve the tools you use, and as you instruct through the portal. KONAH doesn't sell it, doesn't use it for its own marketing, and doesn't combine it with other customers' data.
- Keeps it confidential and limits access to the people and providers who need it to run the service. KONAH staff who can see customer records accept the Confidential Information & Data Access Agreement.
- Protects it with encrypted connections, hashed passwords, signed links, role-based access and an audit log of sensitive actions.
- Helps you answer requests from your contacts (access, correction, deletion) when you ask, using the export, edit and delete tools in your portal or with Support's help.
- Tells you without undue delay if KONAH learns of a security incident that affects your contacts' data, with what it knows and what it's doing about it, under KONAH's Security Incident Response Plan.
Data processing addendum: subprocessors
KONAH uses these providers to run the software, each only for its part: Cloudflare (hosting, database, file storage and custom domains for websites), Stripe (payments), Resend (email), Twilio (KONAH Phone numbers, texts, calls, call recordings and texting registration), Anthropic and Google (AI processing), Deepgram (speech to text), Autoenhance (photo enhancement), Kling and Shotstack (AI video and reel rendering), Zernio (social connections and publishing), Google (Gmail and Calendar connections you choose, maps, address lookup and arrival times), PostGrid (printing and mailing postcards; Lob as a backup print partner if KONAH switches to it), Name.com (domain registration), Checkr (background checks for KONAH Creator applicants, not your contacts), QR Server (QR codes; receives only the link), the voice-AI provider for KONAH Assistant calls and voice copies, and the data and Do Not Call scrub providers for KONAH Prospect. KONAH names the voice-AI, Prospect data and scrub providers on this page before each of those features is switched on. HighLevel (GoHighLevel) is used only for legacy KONAH CRM workspaces created before KONAH CRM 2.0.
KONAH lists changes to these providers in the Privacy Policy and updates this page. If you object to a new provider, tell us at [email protected] and we'll work with you, which may include cancelling the affected tool.
Data processing addendum: when you leave
You can export your contacts (CSV) and your data from the portal before you cancel, and delete your account from Team & Account → Your data. On deletion KONAH removes your profile, contacts, documents, social connections and preferences, and keeps order and payment records with personal details removed, as the Privacy Policy explains.
Availability and changes
KONAH works to keep the tools available but doesn't promise uninterrupted service. Third parties (social platforms, Google, email and text carriers, Twilio, print and domain partners, and HighLevel for legacy workspaces) can change or limit their services, and KONAH isn't responsible for their outages or policy changes.
KONAH may update these tools and these terms. We update this page and, for meaningful changes, tell you in the portal or by email.
